A data room is a controlled repository used to share documents during a transaction, audit, investigation, or other review. In practice, it is more than a simple shared folder: it usually has access controls, document versioning, audit logs, and a clear structure so that only approved users can see the right files and the latest copy is easy to identify.
In cyber security, data rooms matter because they concentrate sensitive information such as contracts, financial records, identity documents, and technical due diligence material. Poorly secured data rooms can expose confidential data through weak passwords, overbroad permissions, stale accounts, or uncontrolled downloads. Defenders use data rooms to reduce confusion and limit leakage with role-based access, watermarking, expiration controls, and logging. Attackers may target them through credential theft, phishing, or link abuse because a single compromise can reveal a large set of high-value documents. A well-run data room supports both trust and security by keeping information organized, traceable, and tightly governed.
