Asset documentation

the records that identify, describe, and support ownership of a property or device.

Asset documentation is the set of records that identify a property or device, describe its key details, and show who owns or controls it. In cyber security, that usually includes serial numbers, model, location, assigned users, purchase or transfer records, software versions, and maintenance history. Good documentation gives security teams a reliable asset inventory, which is the foundation for patching, access control, risk reviews, and compliance.

It matters because attackers often exploit what defenders cannot see. Undocumented laptops, servers, medical devices, or cloud instances can become shadow IT: unmanaged systems that miss updates, keep weak credentials, or retain sensitive data after they should have been retired. Defenders use asset documentation to answer basic questions during an incident: What is this device? Who is responsible for it? What data does it hold? In investigations, accurate records also support chain of custody and help prove whether a device was authorized, transferred, or altered. In short, asset documentation turns an unknown asset into a managed one.
