Approved-provider list

A controlled list of external services that security and procurement teams have authorized for use.

An approved-provider list is a controlled register of external services, vendors, and APIs that an organization has reviewed and authorized for use. It acts as a security and procurement gate: teams can only adopt tools that meet requirements for data handling, access control, logging, retention, and supportability. In cyber security, this matters because third-party services can expand the attack surface even when the software itself is not installed locally.

Defenders use approved-provider lists to reduce shadow IT, limit data exposure, and enforce consistent vendor checks. In practice, a service should not be added until security has assessed its permissions, integration points, and lifecycle risks. Attackers often benefit when teams bypass this control and connect unvetted services to sensitive workflows, because weak supplier controls or unclear API access can create opportunities for misuse, leakage, or disruption. A well-maintained approved-provider list helps make external dependencies visible and governable.
