Verbalization

The formal recording of meeting discussions and decisions into minutes or an official record.

Verbalization is the formal recording of a meeting’s discussion, resolutions, and votes into minutes or another official record. In corporate governance, it is more than note-taking: it creates the authoritative text that proves what was discussed, what was approved, and what actions were authorized. Because the record may later be reviewed in audits, disputes, or regulatory checks, verbalization must be accurate, complete, and tied to the correct meeting context.

In cyber security, verbalization matters because the meeting record is a protected digital asset. If an attacker alters minutes, inserts a false resolution, or removes objections, the organization can lose evidentiary integrity even if the meeting itself was legitimate. Defenses include controlled editor access, version tracking, timestamps, cryptographic signing, and human review before approval. In digital meetings, verbalization also helps connect identity, voting, and the final decision chain, making it harder for fraud or automation errors to hide in the official record.
